Our commitment to you

Friends of Sanderlin, Inc. ("Friends of Sanderlin," "we," "us," or "our") will never sell, rent, trade, or share your personal information with any other organization. We are a Florida nonprofit corporation recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code, and we raise private support for academic programs at James B. Sanderlin K-8 IB World School in St. Petersburg, Florida.

The families, neighbors, and partners who support our work trust us with their names, contact details, and giving history. We take that trust seriously. This Website and Donor Privacy Policy explains what information we collect, how we use it, how we protect it, and the choices you have.

This policy applies to:

• Our website at friendsofsanderlin.org
• Information you give us when you donate, contact us, or sign up for updates
• Donor information we receive from our donation platform, Givebutter
• Donor information we receive by mail, in person, or at events

Information we collect

We collect only the information we need to process gifts, thank our donors, meet our legal obligations, and keep our community informed.

Information you give us when you donate

Online gifts are made through our donation platform, Givebutter. When you give, Givebutter collects and passes to us:

• Your name
• Your email address
• Your mailing address
• Your phone number, if you choose to provide it
• The amount, date, and designation of your gift
• Any note, tribute, or dedication you add
• Your stated preference about being recognized publicly or giving anonymously

We never receive, see, or store your full credit card number, bank account number, or other payment credentials. Those details go directly to Givebutter and its payment processors, including Stripe, which are required to meet the Payment Card Industry Data Security Standard (PCI DSS).

Gifts by check, stock, or other means

If you give by mail, in person, through a donor-advised fund, or through a community foundation, we record the same kinds of information listed above so we can acknowledge your gift. We do not keep copies of your check's bank account and routing numbers beyond what our bank requires for deposit.

Information you send through our website

If you use the contact form on our website or email us, we receive your name, your email address, and the content of your message. If you join the mailing list, we receive the email address you sign up with.

Information collected automatically

Like most websites, our site and its hosting provider automatically record basic technical information when you visit, such as your IP address, browser type, device type, the pages you view, the referring page, and the date and time of your visit. See Cookies, analytics, and server logs below.

Information about students

Friends of Sanderlin does not request, receive, or maintain student education records from the school or the Pinellas County School Board. If a donor chooses to mention a child in a note or message, we use that information only to respond to the donor.

How we use your information

We use your information only to carry out our charitable mission and to serve you as a supporter. Specifically, we use it to:

• Process your gift and send you a written acknowledgment that meets IRS substantiation requirements for tax-deductible contributions
• Thank you and keep an accurate record of your giving
• Send you updates about the foundation, the programs your gifts support, and future opportunities to give
• Respond to questions, requests, and messages you send us
• Honor any dedication, tribute, or designation you attach to a gift
• Recognize donors in our annual donor honor roll, published on our website and in printed materials, unless you ask to remain anonymous
• Maintain the financial and gift records required by federal and Florida law and by our grant agreements
• Keep our website secure, working properly, and easy to use

We do not use your information to build profiles for advertising, and we do not use it for any purpose unrelated to Friends of Sanderlin.

We never sell, trade, or share donor information

Friends of Sanderlin will not sell, rent, trade, or share our donors' names or any other personal information with any other entity. We will not send mailings to our donors on behalf of other organizations. This commitment applies to every donor, regardless of gift size, and it does not require you to opt out.

The only people and organizations who handle your information are those who help us operate, and only for that purpose:

• Service providers acting on our behalf. This includes our donation platform (Givebutter), payment processors (such as Stripe), our bank, our bookkeeping and email service providers, and our website hosting provider. They may use your information only to provide services to Friends of Sanderlin.
• Our directors and volunteers. Only board members and volunteers who need donor information to acknowledge gifts, keep records, or conduct foundation business have access to it. They are expected to keep it confidential.
• Legal requirements. We may disclose information when required by law, such as in response to a subpoena, a court order, or a lawful request from a government agency, or when necessary to protect the rights or safety of the foundation or others.

Our grants to Sanderlin K-8 are made to the school and the Pinellas County School Board. We do not give them our donor list. We share a donor's name with the school only if the donor asks us to, for example to recognize a gift directed to a specific program.

Givebutter, Stripe, and other third-party sites

Our online donations are processed by Givebutter, an independent fundraising platform, and its payment processors, including Stripe. Two privacy policies apply to your online gift:

• While your information is on Givebutter's platform, Givebutter's own privacy policy and terms govern how it collects, uses, and protects that information. This includes the payment details you enter, any optional tip you choose to leave for Givebutter, and any account you create with Givebutter. You can read its policy at givebutter.com/privacy. Stripe's privacy policy is available at stripe.com/privacy.
• Once Givebutter passes your donor information to Friends of Sanderlin, this policy governs how we use, store, and protect it.

Givebutter campaign pages may show a list of recent supporters. When you give, you can choose at checkout to hide your name, your gift amount, or both from public view. You can also ask us to make that change for you at any time.

Our website may link to other sites, such as Sanderlin K-8, Pinellas County Schools, community foundations, and news coverage. We do not control those sites and are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any site you visit.

Cookies, analytics, and server logs

Our website is hosted on Cloudflare, which keeps our site fast, available, and protected against attacks. To do that, Cloudflare automatically processes basic server log information, such as IP addresses and request details, and may set strictly necessary security cookies that help distinguish real visitors from automated traffic. These cookies do not identify you by name and are not used for advertising.

The contact form uses Cloudflare Turnstile, which may set a strictly necessary cookie to confirm a message came from a person.

If you use the Givebutter donation form on our site, Givebutter may set its own cookies needed to process your gift securely.

We use this technical information only to operate, secure, and improve our website. We do not use Cloudflare Web Analytics, Google Analytics, advertising cookies, retargeting pixels, or cross-site tracking. Most browsers let you block or delete cookies through their settings. Blocking strictly necessary cookies may affect how parts of the site or the donation form work.

Your choices

You decide how we communicate with you and whether your name appears publicly. We will honor your request within 10 business days and confirm it by email.

To stop receiving updates and appeals by email

• Click the "unsubscribe" link at the bottom of any email we send, or
• Email info@friendsofsanderlin.org with the subject line "Unsubscribe"

Unsubscribing from updates will not stop the tax receipts and gift acknowledgments we are required to send you.

To stop receiving printed mail from us

Email info@friendsofsanderlin.org with the subject line "No Mail" and include your mailing address.

To remain anonymous

• At checkout on Givebutter, choose the option to hide your name and gift amount from public view
• For gifts by check or other means, write "Anonymous" in the memo line or include a note with your gift
• At any time, email info@friendsofsanderlin.org with the subject line "Anonymous" and tell us which gifts the request covers

Anonymous donors are left out of our donor honor roll, website, event programs, and any other public recognition. We still keep a confidential internal record of your gift so we can issue your tax receipt and meet our legal obligations. If a publication has already gone to print when we receive your request, we will apply it to every edition that follows.

To review, correct, or delete your information

Email info@friendsofsanderlin.org. We will send you the information we hold about you, correct anything that is inaccurate, and delete what we are not required to keep. Gift records that federal or Florida law requires us to retain will be kept for the required period and then securely destroyed.

How we protect your information

We use reasonable administrative, technical, and physical safeguards to protect the information you share with us:

• Payment information is handled only by Givebutter and its PCI DSS compliant processors, never by our own systems
• Our website is served over encrypted HTTPS connections
• Donor records are kept in password-protected accounts with multi-factor authentication where available
• Access is limited to the directors and volunteers who need it for foundation business
• Paper records are kept secured and shredded when no longer needed

No method of transmission or storage is completely secure. If a breach ever affects your personal information, we will notify you as required by Florida law.

How long we keep information

We keep gift and donor records for as long as needed to acknowledge gifts, maintain our relationship with you, and meet our legal, tax, and audit obligations, generally seven years after your most recent gift. Contact form messages are kept only as long as needed to respond and follow up. When information is no longer needed, we delete or securely destroy it.

Children's privacy

Our website is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13 without verifiable parental consent, consistent with the Children's Online Privacy Protection Act (COPPA). If you believe a child under 13 has sent us personal information, please contact us at info@friendsofsanderlin.org and we will delete it promptly.

Changes to this policy

We may update this policy from time to time. When we do, we will post the revised policy on this page and update the effective date above. If we make a material change to how we use donor information, we will notify donors by email before the change takes effect. We will never change this policy to allow the sale, trade, or sharing of donor information.
